Foundation visitors rarely ask for every invoice. They ask for a handful of costs that prove your team understands the grant budget. The organizations that stay calm are the ones that prepared a sample binder before the invitation arrived.

Build a thin, honest binder

Select ten to fifteen expenditures across payroll, program materials, and travel if the grant allows it. For each item, attach the invoice or payroll extract, the approval, and a one-line note linking the cost to a budget line in the agreement.

Flag the awkward items early

If a cost sits near the edge of allowability, note it and prepare the explanation. Surprises during the visit cost more trust than an early, candid discussion.
